How to use AI to turn messy meeting notes into action items

Paste your rough meeting notes into a free AI app, such as Gemini, ChatGPT or Claude, with our prompt. You get a list of decisions, a table of who does what by when, and a list of open questions. Then ask for a short follow-up email you can send. It takes about five minutes, and you check every name and date yourself.

Step by step

  1. Step 1: Collect your notes, and remove private details

    Copy your notes into one place, even if they are messy. Take out anything the AI does not need: client names if they are confidential, phone numbers, passwords and account numbers. First names or roles are enough.

  2. Step 2: Open a private chat if your app has one

    In Gemini, go to gemini.google.com and click Temporary chat next to New chat. Gemini's help page says a temporary chat won't appear in your Gemini Apps Activity or your recent chats, and that you lose access to it when you leave. It needs a personal Google Account, not a work or school one.

    Tip: Using another app? Look in its help pages for a temporary or private chat option. If it has none, share only what you are comfortable having saved. Check your workplace rules before pasting work notes into any AI app.

  3. Step 3: Paste this prompt and send it

    Change the words in [brackets]. The prompt tells the AI to use only what is in your notes and to mark anything missing, so it does not invent names or dates.

  4. Step 4: Check it against your notes

    Read each action item and compare it with your notes. Fix every name and date. Replace each "not stated" with the real answer, or send it to the group as a question. The AI can misread messy notes, so this check is the most important step.

  5. Step 5: Ask for a follow-up email

    Once the list is right, ask for a short email you can send to everyone.

Example answer from Claude on 6 Oct 2026, for made-up notes from a meeting about a spring newsletter. Shortened. Yours will be worded differently.

Common mistakes

  • Trusting the list without checking. The AI can misread messy notes and put the wrong name on a task. Compare each line with your notes.
  • Letting it fill gaps. If the prompt does not say to use only your notes, an AI may invent a deadline. Keep that line in the prompt.
  • Pasting confidential details. Remove client names, passwords and account numbers first, and follow your workplace's rules for AI tools.
  • Sending the email unread. Read it once and fix the tone before you send it.

Questions people ask

Does this work in ChatGPT, Gemini and Claude?

Yes. You only paste text and a prompt, so it works in any AI app. We checked the private chat steps in Gemini only, so look in the help pages of other apps for theirs.

Is it safe to paste work notes into an AI app?

Share as little as you can. Leave out confidential names and numbers, use a temporary or private chat if your app has one, and check your employer's rules first. In Gemini, a temporary chat won't appear in your Gemini Apps Activity or recent chats.

What if I cannot find Temporary chat in Gemini?

Gemini's help page says it needs a personal Google Account, so it is not available with a work or school account. It is also not available in Gemini in Chrome or Gemini in Google Messages.

Can AI write the meeting notes for me?

This guide starts from notes you already have. Some apps can record and transcribe meetings, but that is a different feature and we did not check it here.
